Decision guide

An evidence checklist before adopting an AI tool

Questions to verify before a team treats an AI product as part of a repeatable business workflow.

Adoption should be proportional to consequence. A low-risk drafting aid needs less diligence than a system that can access customer data or execute actions.

Product fit

  • What exact recurring task improves?
  • What output must remain human-reviewed?
  • What is the exit path if the tool stops fitting?

Data and privacy

  • What data enters the service?
  • What retention, training, sharing, or deletion controls are relevant?
  • Can sensitive inputs be excluded from the workflow?

Reliability

  • How are uncertainty and missing information shown?
  • Can results be checked against source material?
  • What happens when the provider or network is unavailable?

Operations

  • Who owns the workflow?
  • How will material vendor changes be reviewed?
  • What logs or evidence are needed to investigate mistakes?
